PROXY VOTING FOR EXECUTIVE COMMITTEE MEETINGS
It was agreed that Executive Committee members unable to attend a meeting could give a proxy, generally or on specific issues, to another Executive Committee member. No member present is to hold more than one proxy vote in addition to his or her own. (February 10, 2003)
ROUGE RIVER COMMUNITY CENTRE
The President and Secretary are to be the primary contacts for communication with the management of the Rouge River Community Centre. Others who will make contact are to make arrangements with one of these two. (February 11, 2003)
BANKING
A bank account is to be maintained at the Scotiabank branch on Main Street, Markham. (August 12, 2002).
Cheques and official banking documents are to be signed by two of: President, Treasurer, Vice-President, Secretary.
CIRCULATION OF EXECUTIVE COMMITTEE MINUTES BEYOND EXECUTIVE
The Town of Markham Councillor for Ward 7 is to receive copies of the Executive Committee meeting minutes. (September 9, 2002)
CORRESPONDENCE
An individual's business title, or any business letterhead or reference should not be included in E-mails or correspondence representing the LCRA, rather that the LCRA position be used (e.g. A. Smith, President, Legacy Community Ratepayers' Association). (May 12, 2003)
Any official LCRA communication to be placed on LCRA letterhead is to be approved by the Executive Committee as to content before it is sent. (May 12, 2003)
SUB-COMMITTEES (GENERAL)
Sub-Committees are to be Chaired by a member of the Executive Committee. (June 10, 2002)
Sub-Committees do not require a quorum to meet. (June 10, 2002)
Sub-Committees must have Executive Committee approval prior to proceeding with expenditures or implementing action. (August 12, 2002)
COMMUNICATION
The Legacy Voice will be distributed to all households in Legacy, not just to LCRA members. (November 11, 2002)
The Legacy Voice is to be forwarded to the Mayor and Town of Markham Councillor for Ward 7. (September 9, 2002)
The Communication Policies and Guidelines (attached separate pages) are to be reviewed annually. (November 11, 2002)
Advertisements in the Legacy Voice may be up to one page in size and should not comprise more than 25% of content. (November 11, 2002)
The Legacy Voice is to be published quarterly. (November 11, 2002)
There will be no advertising on the front page of the Legacy Voice. (March 10, 2003)
LCRA advertising will not indicate any "direct identification" of an advertiser with their role or position with the LCRA. (May 12, 2003)
